CribNotes Privacy Policy

This Privacy Policy explains how Ward Technologies, operating CribNotes, collects, uses, shares, and protects information when you use CribNotes through our website, mobile app, and related services.

1. Who We Are

CribNotes is a baby and child care tracking service for parents, guardians, and authorized caregivers. In this policy, CribNotes, we, us, and our refer to Ward Technologies, operating CribNotes.

2. Who May Use CribNotes

CribNotes is intended for adults, including parents, legal guardians, and authorized caregivers. Teen babysitters may use CribNotes only when they are authorized by a parent, guardian, or other responsible account holder.

Children should not create CribNotes accounts or use CribNotes on their own. By entering information about a child, you confirm that you are the child's parent or legal guardian, or that you are an authorized caregiver with permission to enter and view that information.

3. Information We Collect

We collect information you provide directly, information generated through your use of CribNotes, and limited technical information needed to operate the service.

  • Account information: name, email address, password credentials or authentication details, account role, and account settings.
  • Child profile information: child name, birth date, sex, optional profile picture, memories/firsts, owner account, shared caregiver relationships, and child-specific settings.
  • Care activity logs: feeding, nursing, pumping, diaper, sleep, wake, tummy time, notes, timestamps, timers, and related details you choose to enter.
  • Health-related care records: allergies, medications, medication profiles, symptoms, temperatures, growth measurements, medical visits, health reminders, and related notes. CribNotes is not a medical device and does not provide medical advice.
  • Location information: approximate or precise location when you choose to share location, respond to a location request, or enable a care session with location sharing.
  • Notifications and device information: push notification subscriptions, Firebase Cloud Messaging tokens, notification preferences, device/browser identifiers used for notifications, and notification delivery metadata.
  • Payment and billing information: subscription or purchase status, Stripe customer and checkout identifiers, price identifiers, and related billing metadata. Payment card details are handled by Stripe, not stored directly by CribNotes.
  • Exports and feedback: information included in exports you request, and messages, feedback, or support requests you send to us.
  • Technical and security information: session cookies, CSRF tokens, IP-address-derived security information, server logs, error logs, rate-limit data, and information needed to protect accounts and operate the service.

4. In-App Analytics

CribNotes includes analytics features that summarize the care data you enter, such as feeding, sleep, diaper, activity, and health trends for a selected child. These analytics are part of the product experience and are generated from your CribNotes records.

We do not use advertising SDKs or third-party analytics tracking tools to profile users for advertising.

5. How We Use Information

  • Provide, maintain, and improve CribNotes.
  • Create and manage user accounts, child profiles, caregiver sharing, and role-based permissions.
  • Store, display, summarize, export, and synchronize care records across authorized users and devices.
  • Send account, invite, password reset, reminder, location request, and care-related notifications.
  • Process purchases and billing entitlements.
  • Respond to support, privacy, safety, and account requests.
  • Protect CribNotes, prevent abuse, enforce limits, debug issues, and maintain service reliability.
  • Comply with legal, regulatory, tax, security, and platform obligations.

6. Sharing and Care Team Access

CribNotes is designed for shared caregiving. When you invite or authorize another caregiver, that person may be able to view or modify child records depending on their assigned role. Parents, caretakers, and babysitters may have different permissions.

You are responsible for inviting only people who are authorized to access the child's information. You can manage child sharing from the app settings.

7. Location Information

CribNotes collects location only when you use a feature that requests or shares location and your device or browser grants permission. Location features may allow an authorized parent or caregiver to request another authorized caregiver's location in connection with child care.

Location sharing can be declined, dismissed, or turned off through the available app controls and device permission settings. If you share location, authorized care team members may see the location, accuracy, and time associated with the location update.

8. Push Notifications

If you enable notifications, CribNotes may store push subscription information or Firebase Cloud Messaging tokens so we can send reminders, care alerts, location requests, invite updates, and other service-related notifications. You can disable notifications through CribNotes settings or your device/browser settings.

9. Cookies and Local Storage

We use cookies and similar storage technologies for login sessions, security, CSRF protection, app preferences, offline behavior, and core service functionality. Some app data may be stored locally on your device or browser to support performance, persistence, and offline use.

10. Third-Party Service Providers

We use service providers to operate CribNotes. These providers may process information for us only as needed to provide their services, subject to their own terms and privacy practices.

  • Hosting, database, infrastructure, and content delivery providers.
  • Stripe for payments, checkout, billing, and purchase processing.
  • Email providers for password reset, invite, and support messages.
  • Firebase/Google services for mobile push notifications.
  • OpenStreetMap map tile providers when map features are displayed.

We do not sell personal information, and we do not use personal information for third-party advertising.

11. Legal and Safety Disclosures

We may disclose information if we believe it is necessary to comply with law, legal process, platform requirements, or a government request; protect the rights, safety, and security of CribNotes, our users, children, or others; investigate fraud or abuse; or enforce our policies.

12. Data Retention and Deletion

We keep information for as long as needed to provide CribNotes, maintain accurate care records, support shared caregiving, comply with legal obligations, resolve disputes, enforce agreements, and protect the service.

If you delete your account, your account is deactivated and data is preserved for 30 days so you can request restoration during that period. After the 30-day restore period, we intend to permanently delete your account and child records that you own, subject to legal, security, backup, and operational retention needs. You may contact us at [email protected] to request earlier permanent deletion.

If child records are shared with multiple caregivers, deletion may affect other authorized users' access to those records. Some records may remain if another account independently owns or is legally entitled to retain them, or if retention is required for legal, security, billing, or dispute-resolution purposes.

13. Exports

CribNotes may allow authorized users to export child records. Exported files are controlled by the user or device that downloads them. Protect exported files carefully, especially when they include child, health, or location information.

14. Security

We use administrative, technical, and organizational safeguards designed to protect information, including authentication, role-based access controls, HTTPS, backup controls, and account security measures. No online service can guarantee absolute security. Please use a strong password, protect your devices, and invite only trusted caregivers.

15. Children's Privacy

CribNotes stores information about children when parents, guardians, or authorized caregivers enter that information. The service is not directed to children as account users, and children should not create accounts or use CribNotes on their own.

16. Medical Disclaimer

CribNotes is a tracking and organization tool. It is not a medical device, does not diagnose or treat medical conditions, and does not provide medical advice. Always consult a qualified healthcare professional for medical questions, symptoms, medication decisions, emergencies, or concerns about a child's health.

17. Your Choices and Rights

  • You can update account information in CribNotes settings.
  • You can manage child sharing and caregiver permissions in CribNotes settings.
  • You can disable notifications through CribNotes settings or your device/browser settings.
  • You can control location permissions through CribNotes controls and your device/browser settings.
  • You can request access, correction, deletion, or other privacy help by contacting [email protected].

Depending on where you live, you may have additional privacy rights under state or other applicable laws, including rights to access, correct, delete, or receive information about certain data practices. We will respond to applicable privacy requests as required by law.

18. International Use

CribNotes is operated from the United States. If you use CribNotes from outside the United States, your information may be processed in the United States or other locations where our service providers operate.

19. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will take reasonable steps to notify users, such as posting the updated policy in the app or on our website. The effective date above shows when this policy was last updated.
